The international standard ISO\/IEC 42001 defines the minimum requirements for such a system and forms the basis for certifiable AI governance. The following sections answer the most important questions about the structure, implementation, and responsibilities of an AIMS.<\/p>\n<h2>What requirements must an AI management system meet?<\/h2>\n<p>An AI management system based on ISO\/IEC 42001 must provide a clearly documented organisational framework that systematically manages AI risks, clearly defines responsibilities, and ensures continuous improvement following the PDCA cycle (Plan-Do-Check-Act). The standard defines binding core requirements that organisations of all sizes must implement.<\/p>\n<p>The central requirements include:<\/p>\n<ul>\n<li><strong>AI policy (AI guideline):<\/strong> A documented, organisation-wide communicated policy that is appropriate to the organisation&#8217;s purpose and contains a clear commitment to continuous improvement<\/li>\n<li><strong>Clear roles and responsibilities:<\/strong> Senior management must assign and communicate responsibilities for all relevant AI roles<\/li>\n<li><strong>Resource provision:<\/strong> The organisation must ensure that sufficient resources are available for operating the AIMS, including the components and assets of the AI systems in use<\/li>\n<li><strong>Risk management:<\/strong> Systematic identification, assessment, and treatment of AI-specific risks such as AI bias, hallucinations, or deepfakes<\/li>\n<li><strong>Documented information:<\/strong> All relevant information must be controlled, maintained, and clearly classified<\/li>\n<li><strong>Internal reporting procedure:<\/strong> A defined process through which employees can report concerns about AI use throughout the entire system lifecycle<\/li>\n<li><strong>Regular review:<\/strong> The AI policy is reviewed at planned intervals and as needed for suitability, adequacy, and effectiveness<\/li>\n<\/ul>\n<p>Process orientation plays a key role here: well-defined processes are characterised by clearly defined interfaces, measurable and repeatable results, and unambiguous responsibilities. This structure increases both the effectiveness and the efficiency of overall AI management.<\/p>\n<h2>Why do organisations need an AI management system?<\/h2>\n<p>Organisations need an AI management system because deploying AI systems without structured governance carries significant legal, operational, and reputational risks. With the EU AI Act, binding obligations for providers and operators of AI systems have applied since 2025, and non-compliance can lead to sanctions.<\/p>\n<p>The EU AI Regulation requires organisations, among other things, to ensure that their staff have sufficient AI competence (Article 4 AI Act, deadline since 2 February 2025). In addition, extensive quality management system requirements apply to high-risk AI systems, which are further specified by the standard DIN EN 18286.<\/p>\n<p>Beyond compliance obligations, an AIMS offers tangible operational benefits:<\/p>\n<ul>\n<li>Systematic goal achievement through structured management instead of ad hoc decisions<\/li>\n<li>Clear accountability frameworks with defined responsibilities for management and staff<\/li>\n<li>Protection against AI-specific risks such as bias, hallucinations, and data protection violations<\/li>\n<li>Building trust with customers, partners, and supervisory authorities<\/li>\n<li>Foundation for AIMS certification under ISO 42001, which is recognised in the market as a quality signal<\/li>\n<\/ul>\n<p>In short: an AI management system not only protects organisations from legal consequences, but also makes AI use demonstrably responsible and therefore sustainable in the long term.<\/p>\n<h2>What is the difference between ISO 42001 and other management standards?<\/h2>\n<p>ISO\/IEC 42001 is the first international standard developed specifically for AI management systems. Unlike general management standards such as ISO 9001 (quality) or ISO 27001 (information security), it addresses AI-specific risks, ethical requirements, and the entire lifecycle of AI systems.<\/p>\n<p>At the same time, ISO 42001 follows the proven High-Level Structure (HLS) shared by all modern ISO management standards. This means that organisations that have already implemented ISO 27001 or ISO 9001 can reuse many structures and processes. Integrating it into existing management systems is therefore significantly easier than building from scratch.<\/p>\n<p>The key differences from other standards:<\/p>\n<ul>\n<li><strong>AI-specific scope:<\/strong> ISO 42001 explicitly governs the responsible handling of AI systems, including AI bias, transparency obligations, and algorithmic accountability<\/li>\n<li><strong>Annex A and B:<\/strong> The standard contains a comprehensive catalogue of measures (Annex A) as well as an implementation guide (Annex B) that provides concrete assistance with implementation<\/li>\n<li><strong>Reference to the EU AI Act:<\/strong> ISO 42001 is considered a suitable instrument for supporting compliance with the EU AI Regulation, particularly for high-risk AI systems<\/li>\n<li><strong>Complementary standards:<\/strong> ISO\/IEC 38507 offers additional considerations for developing AI policies and usefully complements ISO 42001<\/li>\n<\/ul>\n<h2>How is an AI management system introduced step by step?<\/h2>\n<p>The introduction of an AI management system based on ISO\/IEC 42001 follows a structured phase model that begins with strategic planning and extends through implementation and certification to the ongoing maintenance and further development of the system.<\/p>\n<p>The typical phases of AIMS implementation are:<\/p>\n<ol>\n<li><strong>Planning:<\/strong> Defining the strategic direction in line with the requirements of ISO 42001, analysing the organisational context, and identifying interested parties and their expectations<\/li>\n<li><strong>Gap analysis:<\/strong> Comparing the current state with the standard&#8217;s requirements in order to identify areas for action and realistically estimate the effort involved<\/li>\n<li><strong>Implementation:<\/strong> Putting the AI management system requirements into practice within the organisation, including creating the AI policy, defining roles, and establishing processes<\/li>\n<li><strong>Employee training:<\/strong> Building the necessary competencies and professional skills to meet the standard&#8217;s requirements among all relevant individuals<\/li>\n<li><strong>Certification:<\/strong> Preparing for an external certification audit, conducting the audit, and making any necessary improvements<\/li>\n<li><strong>Maintenance and improvement:<\/strong> Ensuring the ongoing effectiveness of the system, regularly reviewing the AI policy, and continuously improving according to the PDCA cycle<\/li>\n<\/ol>\n<p>An important part of the introduction is the <a href=\"https:\/\/www.mitsm.de\/beratung\/iso-42001-audit\/\">ISO-42001-Auditvorbereitung<\/a>, which should be integrated into planning at an early stage. They must define the AI policy and objectives, provide resources, and ensure that AIMS requirements are integrated into business processes. In addition, a dedicated role as AI Officer (AIMS Officer) is provided for.<\/p>\n<p>The specific tasks of senior management include:<\/p>\n<ul>\n<li>Aligning the AI policy with the organisational strategy and communicating it<\/li>\n<li>Conveying the importance of effective AI management throughout the entire organisation<\/li>\n<li>Guiding, supporting, and motivating employees towards continuous improvement<\/li>\n<li>Defining and assigning key roles and responsibilities<\/li>\n<\/ul>\n<p>The AI Officer (ISO 42001 AIMS Officer) is operationally responsible for ensuring that the AIMS functions in day-to-day operations. This role includes, among other things, monitoring AI roles and responsibilities, operating the reporting procedure for concerns, and managing documentation.
